
Exigen Letter Management window allows you to manage your reminder letters.
The Letter Management window is displayed by selecting the "Letter Management" option on the "Reminders" menu.
Reminder letters are written using MS Word. Patient details are inserted into reminder letters using the mail merge facilities of Word.
To edit a letter's content, select the letter you wish to edit and click the "Edit in MS Word" button. The reminder letter contains a single merge record that can be used for creating the required layout of the reminder letter. When reminder letters are created, Exigen Reminder supplies the required mail merge list to the letter for previewing or printing.
The "Add New Letter" option displays the new Reminder Letter form.
Each letter is referred to by a name which appears on the Reminder form. A name is assigned to a letter when it is created but may be updated at anytime.
To rename a letter, select the letter you wish to rename and then click the rename button. Enter the new letter name and click OK.
There must always be at least one reminder letter configured in Exigen Reminder. Therefore it is not possible to delete a letter if it is the only one in the list.
To delete a letter select the letter you wish to delete and click the "Delete" button. When a letter is deleted, Exigen Reminder updates patients who were due to receive the letter to be sent a different reminder letter. The Delete Letter window allows you to select the new reminder letter that these patients will receive.

When a second, third, fourth, etc reminder is printed, it is possible to create a new letter (see how). These additional letters will then be included in the available letters list on the "Further Reminders" form. Additional letters may be edited or deleted using the Letter Management window. To include additional reminders in the letter list select the "Show letters available for additional reminders" check box option. The letters then may be managed in the same way as standard reminder letters.
